WorkLife Canada Immigration Services ("we", "us", "our") is committed to protecting your personal information. This policy is informed by the Personal Information Protection and Electronic Documents Act (PIPEDA), Canada's federal private-sector privacy law, and by the confidentiality obligations that apply to Regulated Canadian Immigration Consultants (RCICs) under the College of Immigration and Citizenship Consultants' Code of Professional Conduct. It applies to this website and to the information you provide to us through it.

What personal information we collect

Depending on how you interact with us, we may collect:

• Contact details — your name, email address, phone or WhatsApp number, and country of residence, when you submit a contact or inquiry form or book a consultation.
• Immigration history and personal circumstances — details you share through our intake and assessment forms, which may include your education, work history, family composition, prior applications and refusals, and travel history. You choose how much to share; more complete information allows us to give you a more accurate assessment.
• Uploaded documents — copies of documents such as passports, refusal letters, transcripts, or employment letters, if you choose to upload or send them to us.
• Technical information — standard website usage data such as pages visited, approximate location, browser type, and device information, collected through cookies and analytics (see below).

Why we collect it

We collect and use personal information only for purposes such as:

• Responding to your inquiries and scheduling consultations;
• Assessing your situation and providing immigration consulting services under a signed service agreement;
• Preparing and submitting applications to Immigration, Refugees and Citizenship Canada (IRCC) or other authorities, where you have retained us to do so;
• Processing payments for our services;
• Meeting our professional record-keeping obligations as a regulated consulting practice; and
• Improving this website and understanding how visitors use it.

We do not use your information for purposes beyond these without telling you and, where required, obtaining your consent.

Consent

By submitting a form, uploading a document, or otherwise providing personal information to us, you consent to its collection and use for the purposes described above. Where we need your information for a new purpose, we will ask for your consent first. You may withdraw your consent at any time, subject to legal, regulatory, or contractual restrictions and reasonable notice — though withdrawing consent may limit our ability to continue providing services to you.

How your information is stored and protected

We take reasonable administrative, technical, and physical safeguards to protect personal information against loss, theft, and unauthorized access, disclosure, copying, use, or modification. These safeguards include restricted access to client files, password-protected and encrypted systems, and secure transmission of forms submitted through this website. Client files are handled in accordance with the confidentiality requirements that apply to RCICs.

No method of transmission or storage is completely secure, and we cannot promise absolute security; if we become aware of a breach that creates a real risk of significant harm to you, we will notify you as required by law.

Third-party service providers

Like most modern websites, we rely on a small number of reputable third-party processors to operate. Depending on how you interact with the site, your information may be processed by:

• Form and lead storage providers — to receive and securely store the inquiries and intake forms you submit;
• Email delivery services — to send you confirmations, replies, and (only if you opt in) informational updates;
• Payment processors (such as Stripe) — to process consultation and service fees. We do not store your full card details on our systems; payment card data is handled by the payment processor;
• Booking and calendar tools — to schedule consultations at a time you choose; and
• Google Analytics — to understand website traffic in aggregate.

These providers may store data on servers located outside Canada (for example, in the United States), where it may be subject to the laws of those jurisdictions. We use providers with recognized security practices and share only the information needed for them to perform their function.

Cookies and analytics

This website uses cookies and similar technologies to keep the site working properly and to measure how visitors use it (for example, which pages are read most). Analytics data is collected in aggregate and is not used to identify you personally. You can block or delete cookies through your browser settings; the site will remain usable, though some features may work less smoothly.

Data retention

We keep personal information only as long as it is needed for the purpose it was collected, and then for the additional period required by our professional and regulatory record-keeping obligations as a regulated consulting practice. Client files are retained for the period required by the College of Immigration and Citizenship Consultants and applicable law, after which they are securely destroyed or anonymized. Inquiry information that does not lead to an engagement is retained for a shorter, reasonable period and then deleted.

We do not sell your personal information

We do not sell, rent, or trade your personal information to anyone. We disclose it only to the service providers described above, to authorities such as IRCC when you have retained us to submit an application on your behalf, or where disclosure is required by law.

Your rights

Subject to limited legal exceptions, you have the right to:

• Access the personal information we hold about you and ask how it has been used and to whom it has been disclosed;
• Request correction of information that is inaccurate or incomplete;
• Withdraw consent to further collection, use, or disclosure, subject to legal and contractual restrictions; and
• Complain — first to us, and if you are not satisfied, to the Office of the Privacy Commissioner of Canada.

Children

This website is not directed at children, and we do not knowingly collect personal information from children through it. Where an immigration matter involves a minor (for example, a dependent child on an application), information about the child is provided by a parent or guardian as part of the engagement.

Changes to this policy

We may update this policy from time to time to reflect changes in our practices or in the law. The "Last updated" date at the top of this page shows when it was last revised. Material changes will be posted on this page.
